Supplier onboarding

You are here because an operator (one of your customers) has added you as a supplier in their Traceable account. This guide takes you from the invitation email to your first completed data request.


Step 1 — Accept the invitation

  1. Check your email for an invitation from Traceable sent on behalf of your customer.
  2. Click Accept invitation in the email.
  3. You are taken to the account creation screen.

If you already have a Traceable account, clicking the invitation link will link your existing account to this operator. You do not need to create a new account.


Step 2 — Create your account

  1. Enter your name and set a password (or log in if you already have an account).
  2. Enter your company name and country.
  3. Click Complete setup.

You land on the Supplier Dashboard.


Step 3 — Understand the Supplier Dashboard

The dashboard shows:

  • Open data requests — requests from operators waiting for your response
  • Certificates expiring — certificates you have uploaded that are approaching expiry
  • Recent activity — your recent actions on the platform

Step 4 — Add your materials

Before responding to data requests, add the materials you supply to your material library. This makes responding to future requests faster.

  1. Click Materials in the left sidebar.
  2. Click New material.
  3. Fill in:
    • Material name — the name as you would describe it to a customer
    • CAS number (if applicable) — the chemical identifier
    • Composition — breakdown by weight percentage if relevant
    • Country of origin — where this material is sourced or produced
  4. Click Save material.

Repeat for each material or component you supply.


Step 5 — Upload certificates

Operators often need to see your certification status. Upload your certificates proactively:

  1. Click Certificates in the left sidebar.
  2. Click Upload certificate.
  3. Fill in:
    • Certificate type — ISO, REACH, RoHS, conflict minerals, etc.
    • Certificate number
    • Issuing body
    • Validity dates — Traceable will alert you before expiry
  4. Upload the PDF document.
  5. Click Save.

Step 6 — Respond to a data request

When an operator sends you a data request, you receive an email notification and it appears in your dashboard.

  1. Click Data Requests in the left sidebar.
  2. Click on the open request.
  3. Read the request carefully — it specifies exactly which fields the operator needs and why.
  4. For each requested field:
    • Enter the value directly, or
    • Select from your material library if the data is already there
  5. Upload supporting evidence documents if requested (test reports, certificates, composition sheets).
  6. Click Submit response.

The operator is notified and can review your response directly in their DPP.

Partial responses

You can save progress and submit later. If you cannot provide certain data, use the comments field to explain. The operator can follow up with a revised request if needed.


Step 7 — Manage your profile

Your profile is visible to operators who have added you as a supplier.

  1. Click Profile in the left sidebar.
  2. Ensure your company details are accurate:
    • Legal name and address
    • Primary contact
    • Industries and product categories you supply
  3. Click Save.
