Getting Started — Company Portal

This guide covers everything you need to know to get your account set up and ready to create Digital Product Passports. If you have just received your invitation email or are logging in for the first time, start here.


First Login

When your account is created, you will receive an invitation email containing a secure link. Clicking the link takes you directly to the platform — no separate registration is required.

On first login, Traceable will prompt you to:

  1. Set your password — passwords must be at least 12 characters and include a mix of upper and lower case letters, numbers, and at least one symbol.
  2. Confirm your name and job title — this information is associated with any documents you sign digitally within the platform.
  3. Accept the platform terms of service — required before accessing any features.

After completing these steps, the onboarding wizard begins automatically.


Onboarding Wizard

The onboarding wizard runs once, immediately after your first login. It collects the minimum information needed to configure your account. You can complete the wizard in approximately five minutes. All information entered during the wizard can be edited later from the Settings section.

Step 1: Company Profile

Enter your organisation's legal details:

  • Legal company name — the registered legal name of your entity, as it will appear on published DPPs and official documents.
  • Registration number — your company registration or VAT number in the country of incorporation.
  • Registered address — full street address including country. This is used as the manufacturer or importer address on published DPPs.
  • Primary contact email — the email address regulators or auditors should use to reach your organisation. This is distinct from individual user accounts.
  • Company website — optional but recommended; appears on the public DPP viewer.
  • Logo — upload a PNG or SVG at least 200×200px. Appears on your public DPP viewer pages.

Step 2: Operator Type

Select the role that best describes your organisation's position in the battery supply chain:

ManufacturerYour organisation manufactures the battery cells, modules, or packs and places them on the EU market under your own name or trademark.
ImporterYour organisation imports batteries manufactured outside the EU and places them on the EU market.
DistributorYour organisation makes batteries available on the EU market but does not manufacture or import them directly.
Authorised RepresentativeYour organisation acts on behalf of a non-EU manufacturer to fulfil EU regulatory obligations.

Your operator type affects which mandatory DPP fields apply to your products and which sections of the compliance checklist are relevant. You can change this later from Settings > Company Profile if your situation changes.

Step 3: Your First Product (Optional)

The wizard offers you the option to create your first product immediately. You can:

  • Start now — enter a product name and battery category to create a draft product. The wizard exits and takes you directly to the DPP editor for that product.
  • Skip for now — exit the wizard and go to the main dashboard. You can create products at any time from the Products section.

There is no penalty for skipping. Most operators find it useful to complete the wizard first and then create products once they have reviewed the full DPP field requirements for their battery category.


Company Portal Structure

After the onboarding wizard, you arrive at the main dashboard. The Company Portal is organised into the following sections, accessible from the left-hand sidebar:

Dashboard

Your compliance overview at a glance. Displays key metrics, pending actions, and recent activity. See Dashboard for a full explanation of every element.

Products

The full product catalogue for your account. Create, edit, import, and manage DPPs for all your battery products. Sub-sections include the product list view, individual product editors, QR code management, and the publish workflow. See Products.

Suppliers

Manage your upstream supplier relationships. Add suppliers, send data requests, review responses, and monitor supplier performance via the scoreboard. See Manage Suppliers.

Compliance

Upload and manage compliance documents, use Document AI to extract structured data, and apply digital signatures. See Documents.

Verification

Create and manage verification tasks assigned to third-party verifiers. Track task status and respond to findings. See Verification Tasks.

Audit Trail

A complete, uneditable log of every action taken across your account. See Audit Trail.

Settings

Account configuration including company profile, team members, user roles and permissions, notification preferences, and API access. Changes made here affect all users on your account.


Account Status Badges

Every operator account carries a status badge that is visible to platform administrators and, in some cases, to verifiers reviewing your DPPs. The three possible statuses are:

Active

Your account is fully operational. You can create, edit, and publish DPPs, send data requests, and assign verification tasks without restriction. This is the normal operating state for established accounts.

Onboarding

Your account was recently created and the onboarding wizard has not yet been fully completed, or your company profile is missing mandatory information. In Onboarding status, you can create and edit draft products but you cannot publish DPPs. Complete the onboarding wizard and ensure your company profile is fully populated to move to Active status.

To check what is blocking your transition to Active, go to Settings > Company Profile and look for any fields marked with a red indicator.

Suspended

Your account has been suspended by a Traceable administrator. Suspended accounts retain all data but cannot create new records, publish DPPs, or send data requests. Existing published DPPs remain publicly accessible unless explicitly unpublished. If your account is suspended and you believe this is an error, contact Traceable support directly.


Next Steps

Once your account is Active and your company profile is complete, the recommended starting point is to create your first product:

  1. Go to Products in the sidebar
  2. Click New Product
  3. Select your battery category
  4. Work through the DPP sections
