Product documents

The Documents tab on a product page is distinct from the global Documents section found in the main navigation. Documents uploaded here are scoped exclusively to this product — they are linked to this specific battery model and are surfaced to verifiers, regulators, and other authorised parties when they review this product's Digital Product Passport.

What documents belong here

Product-level documents are those that reference or evidence this specific product by model number, batch, or product identifier. Examples include:

  • Test reports — electrochemical performance tests, safety tests (UN 38.3), cycle life results for this battery model
  • Product-specific declarations — declarations of conformity referencing this model number
  • Datasheets — manufacturer or supplier datasheets for this specific model
  • Certifications — CE certificates, IEC certifications, or third-party lab certificates that name this product
  • Safety data sheets — SDS/MSDS documents specific to the chemistry used in this model
  • Substance declarations — RoHS, REACH, or cobalt/lithium sourcing declarations for this product

Documents that apply company-wide (e.g. ISO 9001 quality management certificate, company-level declarations) should be uploaded in the global Documents section rather than here.

Uploading a document

  1. Navigate to the product and select the Documents tab.
  2. Click Upload document.
  3. Select the file from your device. Supported formats: PDF, DOCX, XLSX, PNG, JPG (max 50 MB per file).
  4. Choose a category from the dropdown (Test Report, Declaration of Conformity, Datasheet, Certificate, Safety Data Sheet, Other).
  5. Optionally, tag the document to a DPP section (see below).
  6. Click Save to complete the upload.

The document is immediately associated with this product and visible to all team members with at least Viewer access.

Viewing documents

The documents list displays:

Click any document row to open a preview. Use the download icon to save a local copy.

Downloading documents

Click the download icon on any document row to download the file directly. Documents can be downloaded by any team member with at least Viewer access to this product.

Associating documents with DPP sections

Each document can be tagged to a specific section of the DPP form to indicate what it evidences. This association is used by verifiers to navigate directly to supporting evidence during a verification task.

Available DPP section tags:

  • General Information
  • Carbon Footprint
  • Material Composition
  • Supply Chain Due Diligence
  • Performance & Durability
  • Safety
  • End of Life & Recycling
  • Labels & Markings

To tag or update a document's DPP section association, click the edit (pencil) icon on the document row, select the relevant section, and save.

A single document can only be tagged to one DPP section. If a document evidences multiple sections (e.g. a comprehensive test report), tag it to the primary section and note the secondary relevance in the document's file name or a comment.

Removing a document

To remove a document from the product, click the remove icon on the document row and confirm the action.

Document removal in Traceable is a soft delete. The document is marked as removed and no longer displayed in the active document list, but the underlying file and its metadata are retained in the system's audit trail. This ensures that historical DPP states and verification records remain intact and auditable, as required by EU Battery Regulation record-keeping obligations.

Removed documents can be viewed by switching the document list filter to Removed. A removed document cannot be re-activated — if you need it back, re-upload the file.

How documents are used in verification tasks

When you assign a verifier to a verification task for this product, the verifier sees all active product documents as part of their review interface. Documents tagged to a DPP section are surfaced directly within that section's verification view, reducing the time verifiers spend locating supporting evidence.

Verifiers can:

  • View and download all active product documents
  • See which DPP section each document evidences
  • Annotate their verification decision with reference to specific documents

For this reason, it is strongly recommended to upload and tag all relevant test reports and certifications before assigning a verification task. Incomplete documentation is a common cause of verification rejection or requests for additional information.
